This is a contract to hire situation.
The Marketing and Events Specialist will work 40 hours a week located onsite.
Must have strong marketing background, customer service, project management and administrative experience.
Marketing and Events Specialist
Job Description:
Prove administrative support for events and tradeshows.
This includes coordinating promotional materials, managing event logistics and assisting onsite as needed.
Assist in the planning and coordination of events from start to finish.
Collaborate with the Events Manager to develop concepts and themes.
Research and secure event venues, catering services, audiovisual equipment, and other event-related vendors.
Coordinate event logistics, including transportation, accommodation, and room setups.
Help to oversee the setup and breakdown of event spaces, ensuring that all equipment and decorations are in one place.
Arrange seating and signage as necessary.
Manage attendee registration processes, including online registration and on-site check-ins.
Communicate with vendors and suppliers, ensuring they are aware of event requirements and timelines.
Coordinate vendor setup and deliveries on the day of the event.
Provide excellent customer service to event attendees, addressing inquires and resolving issues.
Assist guests with special needs or requests.
Assist in managing event schedules and programs.
Coordinate speaker or presenter requirements, including audiovisual needs and presentation materials.
Help maintain event websites and registration pages.
Communicate event details and updates to team members, vendors and attendees as needed.
Maintain accurate records of event-related document, contracts, and correspondence.
Compile post event after action report and feedback for evaluation.
Oversee the cleanup and restoration of even spaces after the event.
Ensure that equipment and decorations are properly stored or returned to vendors.
Marketing and Events Specialist additional
Responsibilities:
Leads all coordination and administrative tasks within the Marketing department.
Aid the Director of Marketing, Marketing Manager, Communications Manager and Events Manager as needed.
Calendar Management:
Schedule and manage appointments, meetings, and marketing calendar.
Document Management:
Create, format, and proofread marketing documents, reports, and presentations.
Maintain a well-organized digital and physical filing system for marketing and event materials.
Data Entry:
Enter data into marketing databases, workbooks, and spreadsheets.
Ensure accuracy and completeness of data to support events and marking campaigns and initiatives.
Marketing Material Ordering:
Assist in ordering marketing collateral such as business cards, printed materials, and promotional items.
Work with accounting departments to process invoices, make payments, and track receipts.
Invoice coding, tracking, and managing inventory.
Administrative support:
Provide general administrative support to the marketing team, such as answering phones, ordering office supplies, and maintaining office organization.
Assist with special projects.
